Not for emergencies
RTWV Academy provides counselling, coaching and relationship education by appointment. Our services are not an emergency or crisis response service, and our messages are not monitored continuously.
If you or someone else is in immediate danger, contact your local emergency services or attend the nearest emergency department. Please do not wait for a response through our website, email, WhatsApp or social media.
Confidentiality statement
Our sessions provide a respectful, non-judgemental space where you can speak openly. Information shared during counselling and coaching is treated as confidential, subject to the boundaries explained in your service agreement.
Confidentiality may need to be limited where there is a serious risk of harm to you or another person, a safeguarding concern involving a child or an adult at risk, or a legal requirement to disclose information.
Where appropriate, lawful and safe, we will discuss a proposed disclosure with you beforehand. Any information shared will be limited to what is relevant and necessary.
For couples counselling, we will explain how information shared individually by either partner will be handled before sessions begin. These arrangements will form part of your counselling agreement.
Where professional supervision is used, identifying details will be minimised and the discussion will remain subject to appropriate confidentiality arrangements.
Recording, transcription or the use of AI tools to process session content will require a separate explanation and agreement before use. Booking a session does not, by itself, give permission for these activities.
We will seek separate, explicit permission before publishing an identifiable testimonial, client story, photograph or recording. Declining publicity will not affect your access to support.
Privacy policy
RTWV Academy. Updated 24 October 2026.
Who we are
This notice covers personal information handled by RELATIONSHIP TALKS WITH VIKKIE ACADEMY LTD, trading as RTWV Academy, in connection with this website and its UK-operated services.
For privacy enquiries or requests concerning your information, please use the business contact details published on our Contact page and mark your message Privacy Enquiry.
Where a service is provided by RTWV Academy Nigeria Ltd, the responsible organisation and any additional privacy arrangements will be identified during registration or booking.
Information we collect
Depending on how you interact with us, we may collect your name and contact details; enquiry, registration, application and appointment information; information supplied through intake forms, correspondence and sessions; relevant counselling or coaching notes; booking, purchase and payment transaction records; communication preferences and consent records; and technical information generated when you use the website.
Counselling information may include sensitive details about your health, religious beliefs, sex life or sexual orientation. We limit collection to information relevant to the support being provided. Please avoid sharing sensitive personal information in public comments or social media messages.
How and why we use information
We use relevant information to respond to enquiries, arrange appointments, provide agreed services, communicate with you, administer payments and maintain appropriate records. We also use information where necessary to handle complaints, meet legal obligations, protect our systems and respond to safeguarding concerns.
Marketing messages are handled separately from service communications. Where consent is required, we will obtain it before sending promotional messages. You can unsubscribe from marketing at any time.
Our lawful bases
Contract: To take steps you request before booking and to deliver services you purchase. Legal obligation: To maintain records or disclose information where applicable law requires it. Legitimate interests: To manage ordinary business enquiries, maintain service quality, protect systems and handle complaints, where these interests are not overridden by your rights. Consent: For activities where we request permission, including certain marketing and publication of identifiable testimonials. Vital interests: In exceptional circumstances where processing is necessary to protect someone's life.
Where we rely on legitimate interests, you can contact us for information about our assessment.
Sensitive information and consent
Sensitive counselling information requires an additional condition for processing. For routine counselling information about health, religious beliefs, sex life or sexual orientation, our proposed policy is to obtain explicit consent through the intake process before collecting it. Any exceptional processing without consent must have a separately identified and documented legal condition.
You may withdraw consent by contacting us. We will explain whether this affects our ability to continue a particular service and whether any records must lawfully be retained.
Who can access your information?
Access is restricted to people who need information for an authorised purpose. Relevant information may be handled by staff, authorised contractors and providers supporting appointment scheduling, online sessions, payment processing, communications, website hosting and secure record storage.
Our online appointment arrangements include Calendly and Google Meet. Their handling of information is also explained in their respective privacy notices. Administrative access to bookings does not automatically authorise access to session notes.
Information may also be shared where a lawful safeguarding disclosure is necessary or where disclosure is legally required. We do not sell counselling records or use private session content for advertising.
International handling
Online service providers may process information in different countries. Access from another country, including access by personnel in Nigeria, must be assessed before it is permitted. Where a restricted international transfer takes place, we will identify and implement the applicable transfer mechanism and safeguards. Clients may request details through our privacy contact.
Keeping information secure
Our policy is to protect personal information through restricted access, appropriate account security, secure storage and controlled disposal. Staff and contractors must handle information only within their authorised responsibilities. Sensitive counselling information must not be placed in public folders or shared through unrestricted links.
No internet service can be guaranteed completely secure. If you believe information concerning you has been compromised, please contact us promptly.
Retention and deletion
We retain information only for as long as needed for its purpose, taking account of applicable legal obligations, insurance requirements, complaints and potential legal claims. The criteria on the following page guide retention decisions.
Retention criteria
Enquiries: Until the enquiry and reasonable follow-up are complete, unless another retention purpose applies. Counselling and coaching records: For the period justified by the service provided, relevant insurance requirements and applicable legal claim periods. Financial records: For the applicable statutory accounting and tax retention period. Marketing records: Until you unsubscribe or information is no longer needed, with a minimal suppression record retained where necessary to respect your preferences. Testimonial permissions: While material is published and for any further period needed to evidence permission or resolve a dispute.
Records subject to a complaint, safeguarding matter or legal claim may need to be retained until that matter is resolved. Information no longer required is securely deleted or anonymised.
Your rights
Depending on the circumstances, you may have the right to access your information, correct inaccuracies, request deletion, restrict processing or receive certain information in a portable format.
You may object to processing based on legitimate interests. You can object to direct marketing at any time. Where processing relies on consent, you may withdraw it. Withdrawal does not affect processing that was lawful beforehand.
Rights are subject to applicable conditions and exceptions. We may need to verify your identity before acting on a request. Requests will be handled within the applicable legal timeframe.
Complaints
Raise privacy concerns through the contact details on our Contact page so that we can investigate and respond. You may also complain to the UK Information Commissioner's Office at ico.org.uk. Where Nigerian data protection law applies, you may contact the Nigeria Data Protection Commission at ndpc.gov.ng.
Cookies and similar technologies
Our website may use cookies or similar technologies to support essential functions, remember preferences and enable third-party features. The website must provide information about technologies actually used, including their purposes, providers and duration.
Where consent is required, the relevant technology must remain inactive until you agree. You must be able to reject optional technologies requiring consent and change your preferences through the website's cookie controls. Booking tools, embedded videos, maps and payment services may have their own privacy and cookie arrangements. Relevant information must be available before those features collect information where required.
You can also manage cookies through your browser settings. Restricting some technologies may affect website functionality.
Changes to this notice
We will review this notice when our services, systems or information-handling arrangements change. Significant changes will be brought to your attention where required.
Technologies used on this website
This website does not store the details you type into it. It loads fonts from Google Fonts. The Community and media page shows a YouTube video player in privacy-enhanced mode, and the Contact page shows a Google Form, so those parts are handled by Google. Booking and the WhatsApp buttons open the booking page or WhatsApp in a new tab, and are handled under their own privacy notices. These providers may set cookies or record your visit.
Refunds and cancellations
Please read the service description and booking terms carefully before making payment.
Completed services
We do not offer discretionary refunds for counselling sessions, coaching sessions or programme elements already delivered simply because you change your mind. This does not affect your rights where a service has not been provided with reasonable care and skill or as agreed.
Counselling and coaching involve individual participation and circumstances. We do not guarantee a particular relationship outcome, reconciliation or marriage.
Cancelling a booking or programme
Please contact us as soon as possible if you need to cancel. Any cancellation charge will reflect reasonable losses directly caused by your cancellation, taking account of costs saved and whether we can fill your appointment. Unused programme fees are not automatically forfeited. Any refund will account for services already provided and lawful, proportionate cancellation charges.
Rescheduling and missed appointments
Please give at least 24 hours' notice when requesting a change. Rescheduling is subject to availability. Late cancellations and missed appointments may incur a charge of up to the session fee where this reflects our actual loss. We will consider exceptional circumstances individually. Arriving late may reduce your available session time because the appointment will normally finish at the scheduled time.
Your statutory cancellation rights
Where a statutory cooling-off period applies, you may cancel within 14 days of entering the service contract. If you expressly request that services begin during that period and then cancel, you may need to pay a proportionate amount for services already supplied, where legally permitted.
The cancellation right ends once the service is fully performed only where the required express request and acknowledgement have been obtained. Starting one session does not automatically remove cancellation rights for an entire programme.
If we cancel
If we cancel an appointment, you may choose a suitable replacement appointment or a refund for that appointment. If we cannot deliver the remaining part of a programme, we will refund the undelivered portion.
Requesting a cancellation or refund
Contact us using the business details on our Contact page, providing your name, booking reference and the service concerned. You do not need to give a reason when exercising an applicable statutory cooling-off right. Any refund due will be returned through the original payment method where possible and within the applicable legal timeframe.
Nothing in this policy excludes or restricts your statutory consumer rights.
